Inland Navigation Europe would like to recruit a part-time Office Manager, as the person currently in this role will retire in June 2025.

We are a very small but dynamic Brussels-based association located in brand new offices near the Brussels North Station and are looking for a highly organized and motivated individual with a hands-on mentality, excellent social and practical skills, flexible, pro-active and capable of working independently.

Responsibilities

  • Daily office management (office workspace, IT, mail, telephone, …)
  • Accounting and reporting (suppliers, invoices in/out, bank, quarterly and annual accounts)
  • Human resources management (payroll, contracts, records)
  • Insurance management (all risk, liability, pension plan, medical)
  • Ensure compliance with legal requirements (legal documentation, official publication)
  • Administrative support to Director (meeting and travel arrangements, text review)
  • Membership management (regular meetings, administration)
  • Conference management (overall organization and coordination)
  • Communications management (website, newsletters, various publications)

Requirements

  • The ideal candidate is currently in a similar or other role, with at least a few (or many) years’ experience.
  • Educated to degree level associated subjects (e.g., office management, administrative assistant, secretarial …)
  • A positive attitude, problem-solving mindset, and the ability to work independently as well as part of a team.
  • Proactive, attention to detail and able to handle multiple projects at the same time.
  • Excellent time management, organizational, social and interpersonal skills.
  • Familiarity with office administration, contract management, and basic legal documentation.
  • High level of computer literacy (MS Office, Outlook, WordPress, Mailchimp, online applications… ). Familiarity with accounting software and Adobe CC (Indesign, Illustrator, Photoshop) is an asset, or the aptitude for learning new software and systems.

Qualities

  • Our working language is English. Fluency in Dutch and/or French is desirable. Any other EU languages spoken in navigable waterway countries are considered a plus.
  • EU national or in possession of a valid Belgian work permit.
